TwoScots are proud to be partnering with a leading education provider to recruit a dedicated Health, Safety and Wellbeing (HSW) Administrative Assistant. This role sits within the Health, Safety and Wellbeing Directorate, providing high-level administrative support to the HSW team, with a focus on injury management, OHS, and WorkCover processes.

You'll play a key role in supporting schools across the network, helping to reduce administrative burdens while contributing to the safety, wellbeing, and operational efficiency of the organisation.

This is a temporary opportunity for 6 months, based in East Melbourne with flexible hybrid working arrangements.

KEY RESPONSIBILITIES:

  • Provide high-level administrative support to the Health, Safety and Wellbeing team, including the Injury Management, OHS, and Workers Compensation teams
  • Calendar and appointment management
  • Prepare, review, and edit reports, correspondence, spreadsheets, and meeting documents
  • Organise meetings, prepare agendas, and provide accurate minute taking
  • Manage shared inboxes (WorkCover, Wellbeing, OHS) and act as the first point of contact for enquiries
  • Process claims, invoices, certificates, and financial requisitions
  • Liaise with schools and payroll regarding wage calculations, declarations, and indexation
  • Maintain and update injury management platforms and document management systems
  • Lodge and manage paperwork for new WorkCover claims
  • Provide office management support, including supplies coordination
  • Perform general administrative duties as required

SKILLS & EXPERIENCE:

  • Strong administration background, ideally in OHS, WorkCover, or injury management settings
  • Excellent communication skills, both written and verbal, with the ability to engage internal and external stakeholders at all levels
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher), electronic diary management, and web-based platforms
  • High-level attention to detail, organisational skills, and the ability to prioritise competing demands
  • Experience working with records and document management systems (Content Manager highly regarded)

QUALIFICATIONS & REQUIREMENTS:

  • Relevant tertiary qualification (desirable) or interest in Health, Safety, or Administration
  • Working With Children Check or VIT registration (or willingness to obtain)
  • Clear National Criminal History Check
  • Commitment to child safety, wellbeing, and the values of Catholic education
