TwoScots Recruitment is excited to partner with a growing engineering consultancy in their search for a part time Project Administrator / Office Manager to join their team. Based in Melbourne's inner eastern suburbs, this role offers a fantastic opportunity to step into a broad, hands-on position supporting a busy and dynamic consulting environment, with a stronger focus on project coordination and keeping jobs moving through the business.

This opportunity is ideal for a proactive all-rounder who enjoys variety in their day, thrives in a fast-paced environment, and takes pride in keeping projects, people and operations running smoothly behind the scenes. The role is a part time opportunity with flexibility for 3/4 day work week, or reduced hours across 5 days.

Key Responsibilities

  • Coordinate incoming and outgoing projects, ensuring jobs are set up correctly and tracked through each stage
  • Create and maintain project folders, documentation and filing systems
  • Assist with fee proposals, quotes, project specifications and formatting of reports
  • Manage deadlines, approvals and follow-ups to keep consultants and projects on track
  • Provide document control support, checking forms, templates and ensuring consistency
  • Upload and manage documentation via client systems such as Procore / Aconex where required
  • Assist with invoicing, project setup and basic accounts administration
  • Oversee the day-to-day running of the office and ensure smooth operations
  • Manage suppliers, office ordering, maintenance requests and general coordination
  • Support meetings, scheduling, staff functions and wider business administration

What We're Looking For

  • Previous experience in a Project Administrator / Office Manager / Contracts Admin / Administrator role
  • Exposure to engineering, construction, architecture or consulting environments highly regarded
  • Strong Microsoft Office skills with confidence formatting professional documents
  • Experience with Xero or similar systems preferred
  • Highly organised with strong attention to detail and ability to manage multiple priorities
  • Confident, proactive personality who can take ownership and keep things moving
  • Someone who is adaptable, hands-on, and happy to pitch in wherever needed
  • A natural all-rounder who enjoys variety and being the backbone of a team
